Opportunity

The Office Manager ensures smooth office operations while creating an efficient and positive work environment. As part of the Global People and Workplaces team, this role requires strong organizational skills, the ability to manage daily office functions, and a proactive approach to improving office operations.

The ideal candidate is a highly organized and approachable  problem-solver who can handle multiple tasks with a positive attitude. They need to be capable of consistently delivering high-quality work and proactively offering innovative ideas and suggestions. The Office Manager will also assist in organizing and coordinating company events, where clear communication is essential.

Key Responsibilities

  • Serve as the primary point of contact for office-related inquiries, ensuring smooth daily operations.

  • Implement office management standards and reporting processes, including creating and adhering to a budget, as well as tracking and reporting expenses.

  • Managing and processing invoices in a timely manner. 

  • Maintain relationships with office service providers and suppliers, while managing inventories, procedures for ordering, tracking, and managing office supplies to prevent shortages and control costs.

  • Support compliance with company policies and workplace regulations, including Health and Safety standards and act as the primary point of contact for emergency procedures.

  • Organize annual company events, including logistics, suppliers, activities and catering.

  • Organize weekly office lunches, happy hours and other team-building activities to enhance the workplace experience for employees.

  • Assist with new hire onboarding logistics and employee departures.

  • Handle office administration tasks, including facilities management, equipment procurement, office upkeep, while maintaining a clean and orderly workspace, such as a "clean desk policy."

  • Coordinate with the IT and Security team to ensure proper workplace setup, office infrastructure, and business continuity.

  • Filing, naming, and storing documents (both physical and digital) to ensure they are easily accessible and secure.

  • Manage all incoming and outgoing mail and packages.

  • Work closely with the People and Workplaces team to align office operations with company goals.

  • Responsible for office communications regarding policies, updates, and initiatives.

  • Creating content for company newsletters.

Qualifications and Characteristics:

  • 4+ years in office management, administration, or a in related role.

  • Experience managing office operations and vendor relationships in a dynamic environment.

  • The ability to thrive in a fast-paced environment and adapt to changing business needs.

  • Excellent written and verbal communication skills, with a professional and friendly demeanor.

  • Basic project management skills, balancing daily tasks with broader initiatives.

  • The ability to manage multiple priorities simultaneously and maintain a high level of accuracy.

  • Highly organized with a strong attention to detail.

  • Collaborative approach when working with internal teams and external vendors.

  • Self-motivated problem-solver with a strong work ethic.

  • Good judgment and decision-making abilities.

  • Native or fluent in English; any additional language skills are a bonus.
